Data Protection – Member Consent
For many years the names and contact details of Royal Solent Yacht Club (RSYC) members have been shared with other members in the Member Directory. The General Data Protection Regulation (GDPR), a law which came into force last year, now makes it necessary for members to formally ‘opt-in’ and give specific consent to the sharing of their information. We must therefore seek consent for the following from all members (if you have already completed a consent form, please complete and submit the new form as it is more comprehensive):
- Your consent to share your contact information with other members via the RSYC Members’ Directory.
- Your agreement that you will not share the contents of the Members’ Directory with non-members or use it for advertising, political reasons, promotional purposes or financial gain.
- Your agreement to securely store and, when out of date, securely dispose of your copy of the printed Members’ Directory.
- Your agreement to maintain secure access to the online Members’ Directory via your online member account.
- Your consent for your image to be used by the Club in photographs or video of Club activities for the sole purpose of promoting the Club and your agreement to assign any right of ownership in those images to the Club.
The member contact details that will be included in the directory are as follows:
- Full name.
- Main postal address.
- Telephone numbers (landline and/or mobile).
- Email address.
- Name and type of any boats owned.
To check what details we hold for you in respect of the directory, click on ‘Your Details’ in the left navigation menu or contact the Front Office.
The RSYC Members’ Directory will be available both online and in an annually printed format.
Members who have registered their consent will be able to access the online directory by logging in to the secure Member Area on the RSYC website or by obtaining a copy of the annually printed directory via the Front Office.
There are two methods of registering your consent:
a) Use the RSYC’s online consent form by clicking on the link below:
b) Use the RSYC’s printed consent form by obtaining a form from the Front Office or by downloading it here.
If we do not receive consent from a member then, regrettably, their details cannot appear in the directory and the RSYC will also not be able to share their details directly with other members.
If at any time you wish to withdraw any of the above consents, please submit your request in writing to the Club. Please be aware that it will not be possible to remove your contact details from the printed directory until the next annual edition is printed.
Recent feedback has clearly indicated that members find the directory to be an extremely useful information resource, so it is hoped that most members will respond swiftly and positively to enable us to start rebuilding the online directory and create a comprehensive printed Members’ Directory in the near future.
